As a school management operating system, Schoolistix processes data under the direction of the registered school administrators (the “School”). We collect information in the following ways:
a. Information Provided by School Directors & Administrators
Account Registration: When a school owner or director signs up, we collect school names, administrator names, email addresses, and secure authentication details.
Staff and Teacher Records: Information managed by the admin, including names, educational history, work experience, next of kin, guarantor information, and bank details.
Student and Parent Records: Information managed by the admin or teachers, including student names, registration numbers, class assignments, subjects, and guardian/parent contact details.
b. Academic and Performance Data
Attendance Tracking: Daily or class-based attendance data containing present, absent, late, or excused statuses.
Academic Results: Continuous Assessment (CA) scores, test grades, exam scores, and system-computed report cards.
Position Tracking: Records of student leadership and official roles within the school hierarchy.
c. Media Elements
Profile Images: Passport photos and school logos uploaded to the system are securely processed and stored via our cloud media partner, Cloudinary.
We use the collected information strictly to deliver, maintain, and secure our operational school dashboard:
To authenticate users via secure JSON Web Tokens (JWT).
To manage your institution’s specific academic sessions, terms, classes, and subjects.
To generate live charts, distributions, and analytics summaries on the administrator’s workspace.
To prevent duplicate, erroneous, or conflicting data entry (such as double attendance logs).
To strictly isolate data so that an authorized school can only access its own scoped data records.
We do not sell, rent, or trade your data to third parties. Data is only shared under the following conditions:
With Third-Party Service Providers: We share specific data elements with essential infrastructure subprocessors, such as Cloudinary (for secure photo assets storage) and our cloud hosting providers.
Legal Obligations: We may disclose information if required to do so by law or in response to valid requests by public authorities.
Architecture Isolation: Your data is strictly scoped and locked to your school’s unique workspace.
Security Infrastructure: All data pathways require modern JWT session authentication to prevent unauthorized database access.
Database Foundations: Your institutional records are safely structured using industry-standard backend validations and robust PostgreSQL/MongoDB configurations engineered to maintain long-term data integrity.
The School as Data Controller: The registered school retains ownership over all student, staff, and grade data inputted into the dashboard. Schoolistix acts as the data processor.
Access, Correction, and Deletion: School administrators have the complete technical capacity to create, read, update, search, and delete student, staff, class, and subject profiles at any time.
Schoolistix processes student data (including minors) solely under the instruction and authorization of the operating school institution. We do not knowingly collect personal information directly from children under the age of 13 without verifiable institutional or parental authorization.
We may update our Privacy Policy from time to time to reflect system updates or legal changes. We will notify school administrators of any material changes by updating the “Last Updated” date at the top of this page.
